Content templates

What are templates?
Templates in Guru let your team standardize the way content is documented and shared. Instead of starting from scratch every time, users can choose from pre-built templates that provide sample content, structure, formatting, and helpful defaults like folders, expert verifiers, and Collection placement.
This feature is designed to simplify content creation while keeping your knowledge base clean, clear, and easy to navigate. Templates ensure consistency across your workspace, reduce the need for editing down the line, and give every author a helpful head start when adding new content.
How it works
Start from scratch or choose a template
When creating a new Guru Card, users can either start with a blank Card or select a template from a list of workspace-created options. Templates come with pre-defined formats and instructions to guide content creation.
Search and filter to find the right fit
Users can search for templates by name or description, or scroll through recommended ones. Each template includes a brief description so users know when and how to use it.

Templates include more than just formatting
Templates can set recommended titles, include pre-filled content or structure, and suggest the right folders and verifiers. This helps authors align with workspace standards and content governance best practices.
Templates are flexible
Templates are meant to guide—not restrict. Users can edit or change any part of the Guru Card before saving. If they don’t have access to certain fields (like a specific Collection), Guru prompts them to choose alternatives before publishing.

Why it matters
Document with confidence
Templates give every author a clear starting point, so knowledge stays consistent, organized, and easy to trust—no formatting guesswork required.
Save time and scale faster
With structure already in place, teams can focus on documenting knowledge—not formatting it—making it easier to contribute and keep info flowing.
Secure data control
Templates work seamlessly within Guru’s permissioning and governance model. Users can only publish to Collections and folders they already have access to, and any preset fields they can’t access will prompt them to select alternatives. Templates can also carry over verification settings, ensuring new Guru Cards are set up with the right subject matter expert from the start. All activity (like Card creation and verification) is tracked in Guru, so Admins retain full visibility and control.
