What are Collections and folders?

Guru organizes content using a two-level structure: Collections and folders.

Collections are the top-level categories in Guru. Think of them as the big buckets that organize content by team, topic, or function—like “Sales Resources,” “Onboarding,” or “Product Docs.” They help your team know where to start when looking for information.

Folders live within Collections and offer a way to further structure content. You can nest folders up to three levels deep, allowing for detailed categorization, like grouping onboarding content by department or product documentation by feature area.

This hierarchy gives your team a clear, intuitive way to navigate knowledge, whether they’re skimming high-level topics or drilling into specifics.

How it works

Create and customize Collections

Set up Collections for teams, departments, or key subject areas. Collections control high-level access and serve as the home for related content.

Organize content with folders

Break Collections into more specific topics using folders. You can nest folders up to three levels, and each can contain Guru Cards, additional folders, or both.

Move and maintain content easily

Use the Card Manager to organize Guru Cards into the right folders or Collections in bulk. Moving Cards won’t break links—URLs to specific Cards stay intact even after edits or reorganization.

Control access with permissions

Apply permissions at the Collection or folder level to ensure the right people have the right access. Folder permissions are additive, giving you flexible control without overcomplicating things.

Cards inherit permissions based on where they live, and you can share specific folders with groups—even if they don’t have access to the entire Collection.

Folder-level permissioning helps maintain control without duplicating content. Verification settings follow Cards wherever they go, ensuring content stays trusted and traceable. Admins can audit access, see who’s responsible for what, and make updates in bulk using the Card Manager.

Can I nest folders inside other folders?

Yes, you can nest folders up to three levels deep. This allows for a clear and navigable content hierarchy without things becoming too complex.

If I rename a Collection or move a Card, will the URL break?

No. Guru uses unique identifiers in URLs, so changes to titles or moving a Card won’t break existing links or bookmarks.

Can I share just one folder with a group, without giving them access to the whole Collection?

Yes. Folder permissions are additive, meaning you can share a specific folder with a group—even if they don’t have access to the rest of the Collection.

Can a Guru Card or folder live in more than one Collection?

No. A Card or folder can only exist in one Collection at a time. If content needs to be referenced across Collections, we recommend linking to the original Card.

What’s the best way to get started structuring content in Guru?

Start by creating Collections based on departments or high-level topics. Then, break those down using folders to group related content more specifically.
